1/23/2009 - A Productive Employee Special Article: Staying Organized In the Business World In order to be organized, you need to have a system that has been developed for your personal and professional needs. Being organized is a process. It does not happen overnight. You don’t ‘get organized’ and then forget about it. You are organized and you stay organized. There is No One Way to Get Organized There are as many organizational strategies as there are “organization experts.” The number of organization-related products and services is continually increasing, as are the number of experts. While each “professional organizer” will want you to adopt his or her system, all professional organizers have to concede that there is no “one system” that works for everyone. What works for a musician will likely not work for a stockbroker. Your profession, lifestyle and workload will all affect your organizational system. You need to develop a system that allows you to efficiently deal with all that comes into your life, but does not hamper you with excessive details. One person’s organizing strategy may involve a complicated combination of electronic gadgets and email alerts, while another may simply consist of a notebook they carry with them. Neither one is the “right way” to get organized. It is possible that both these individuals have the most effective system for their lifestyle and profession. Think about what you want out of your organizational system. What is your current level of organization and how do you want to change it? Use what works for you, not what works for others. You want your organizational system to provide you with the following:
Disorganization is a result of not having an effective way to deal with what comes into your life. Organized people know how to deal with each and every thing that comes into their life each day and have a systemized way of managing these items. Your system should also make it easy for you to process items and activities that take up the most of your time. Your system should allow you to easily know what your current responsibilities are and allow you to systematically move from one project to another. Don’t Over Organize It is important that your system isn’t unnecessarily complicated. You can have the most elaborate organizational system with the latest cutting-edge gadget that catches everything and anything that you have to deal with, but you can still be completely unorganized. If you spend all your time fiddling with your calendar or electronic organizer, you are not actually improving your organization at all. In fact, you are just adding more to your already full plate. Your Organizational System Should be Continually Evolving As you are developing your system, keep in mind that in no way will it ever be set in stone. Just because you wanted to try something does not mean you have to keep doing it. In fact, the best way to find the organizational system that works for you is to experiment with different strategies. Your system should be continually evolving so you can gauge what is and is not working. You need to always be thinking about how to make your system work smarter, faster and more effectively.
